Program Rules and Regulations
1. PURPOSE OF CONFERENCE: This conference is for educational and informational purposes of the members of the Council for Advancement and Support of Education.
2. ACCEPTANCE OF EXHIBITORS AND CONSULTANTS: Only firms and organizations whose products and services are appropriately related to the purposes of CASE shall be permitted to exhibit. CASE reserves the right to decline, or prohibit any exhibit, which, in its judgment, is inappropriate. This reservation is all-inclusive as to persons, things, printed matter, products, and conduct. Only paid representatives, as listed on the registration form, will be permitted in the exhibit space.
3. CONTRACT FOR SPACE: Registrants for exhibit space are required to complete the REGISTRATION AND CONTRACT before space will be assigned. The Registration and Contract for space (upon formal notice of receipt of payment, assignment of pace, and acceptance by CASE) constitutes a contract for the right to use the assigned space during the conference. Cancellations received by March 4, 2008, will be refunded at 50% of the base fee paid to CASE District IV. THERE WILL BE NO REFUNDS AFTER March 4, 2008.
4. DATES AND SHOW HOURS: The exhibit area will be open as follows:
Sunday April 6 Exhibit Set Up 10:00 AM to 3:00 PM (SEE #5) Opening Reception 6:00 PM to 7:30 PM Monday April 7 Exhibit Area Open 7:30 AM to 5:00 PM Tuesday April 8 Exhibit Area Open 7:30 AM to 1:30 PM Exhibit Move Out 2:00 PM to 4:30 PM (SEE # 5)
5. INSTALLATION AND DISMANTLING: Installation may begin as soon as the set-up of your space has been completed. For your convenience, we suggest you not plan on setting up before 10:00 AM on Sunday. Installation must be completed by 3:00 PM (Sunday) before the start of the opening reception. Dismantling may begin at 2:00 PM Tuesday and must be completed by 4:30 PM Tuesday.
6. EXHIBIT SERVICES: All labor, materials, equipment and/or supplies needed for set up, operation and dismantling, are to be ordered from the official contractor. Exceptions are limited to telephone, electrical services and AV services, which must be ordered through (and supplied by) the conference facility.
7. USE OF SPACE: All demonstrations and other activities must be confined to the limits of your exhibit space. Exhibitors shall not assign, share, or sublet any space allotted without the written consent of CASE District IV. No exhibitor is permitted to present goods or services other than those manufactured or sold by the firm in their regular course of business. The exhibitor shall not display or place any product, sign, partition, apparatus, shelving or other item, which is more than 8 feet above the floor or from the back wall of the space. Interference with other exhibitors, due to the applicant’s obstruction of light or view, will not be permitted. Audio-visual equipment, sound systems and other attention - getting forms will be permitted only when they do not interfere with the activities of neighboring exhibitors. The Exhibitor Co-Chairmen and CASE District IV Conference Board members shall be the sole judges of such interference.
8. RESTRICTIONS ON SELLING: All over-the-counter transactions involving the exchange of currency for goods and services received and delivered during this conference are expressly prohibited.
9. IRREGULAR CANVASSING ACTIVITIES: The unsolicited distribution of the exhibitor’s promotional materials may be made only within the confines of that exhibitor’s assigned space. Unregistered firms and organizations will not be permitted access to the trade show area during this conference. Please contact any CASE District IV officer if you suspect a violation of this conference rule!
10. FIRE LAWS: Flammable materials must be treated to meet any tests required by the local fire safety codes. No materials failing to meet these standards will be allowed in the exhibit area. Exhibitors agree to conform to any and all applicable fire and safety codes, which affect displays and the exhibit area.
11. RESTRICTIONS OF EXHIBITS: CASE reserves the right to restrict, manage or evict exhibits, which become objectionable or deviate from section 2 of this article document. In the event of such stated action, CASE IV will not be liable for return of rentals, payments made or other fiduciary liability.
12. CARE OF FACILITIES: Exhibitors, their agents, and representatives shall not deface, harm or otherwise injure the facilities used for this event. In the event such an occurrence, the exhibiting firm is solely responsible for the liability.
13. FAILURE TO PAY REGISTRATION FEE: No space assignments will be made without full (and cleared) payment being received by CASE District IV.
14. CATASTROPHE: In the event that because of war, fire, strike, governmental regulations, public catastrophe, act of God, the public enemy or other cause, the conference or any part thereof is prevented from being held or is canceled by CASE, the conference shall determine and refund to the registrants a proportionate share of the balance of the aggregate exhibit fees received by CASE and reasonable compensation to CASE, but in no event shall the amount of the refund to the registrant exceed the amount of fees paid to CASE.
15. INDEMNIFICATION: The registrant hereby agrees to indemnify, defend and protect CASE and hold the conference hotel management harmless from any and all claims, demands, suits, liability, damages, loss, costs, attorneys fees, an action or failure to act of the registrant, any of the officers, employees, agents or other representative during the period of the conference including, but not limited to, claims of damage or loss of property, of from or out of any damage, loss, harm or injury to the person or any property of the registrant, its officers, employees, agents, or any other representatives during the period of the conference including, but not limited to, in-load, set-up conference schedule, tear-down and out-load of exhibit space and materials.
16. LIABILITY AND INSURANCE: CASE District IV, the conference hotel management and any other officers or staff members will not be held liable for the safety of the property of the exhibitors from theft, damage by fire, accident or other causes. Exhibitors are advised to consult their insurance carriers for proper coverage of display materials from the time it leaves their premises until its safe return. In most cases, a rider can be added to the current policy for a nominal fee. Neither CASE District IV nor the conference hotel management, their officers, employees, agents or representatives shall be held liable for damages to the person or property of the registrant resulting from theft, fire, negligence of employees or other causes and neither CASE District IV nor the conference hotel management will obtain insurance against damage, loss, harm or injury.
17. SECURITY: Each exhibitor must make provisions for the safeguarding of their equipment, materials and displays at all times and wherever the same may be located within, on or about the conference hotel premises. Security services for show entry control may be provided by CASE District IV during the show period, but CASE District IV, its subcontractors or the conference hotel management will NOT be responsible for property damage or loss by or for any cause, and the exhibitors hereby waive any right against them for same.
These RULES AND REGULATIONS become a part of the contract between the exhibitor and CASE District IV. They have been constructed in the best interest of the exhibitors and CASE District IV. The officers of CASE District IV and the conference hotel management respectfully ask the full cooperation of the exhibitors and consultants in the observance of these RULES AND REGULATIONS. All points not covered are subject to the decisions of the officers of CASE District IV, the conference hotel management and the exhibitor chairman. | ||
